Position Description & Job Posting Template

In an effort to promote manager self-service, the EHE HR Team is developing a number of tools to streamline the processing of HR requests. One of these tools is the new Position Description & Job Posting Template that is processed through our eSignature tool, DocuSign. 

There are a number of different reasons to use the Position Description & Job Posting Template:

  1. To request a new position be created and/or posted on jobsatosu.com
  2. To fill an existing position and/or post it on jobsatosu.com
  3. To reclassify an existing position
  4. To update the job duties and responsibilities of an existing position (especially if this results in a stand hours and/or pay rate change!)

 

   Steps to Post a Position


      1. Intake meeting with HR Generalist

  • Discuss needs for position
  • Receive guidance on using th PD Template

      2. Fill Out PD Template

  • Use information from meeting with HR Generalist 
  • Use links on the form and help guides

      3. Position Information Processed

  • HR Specialist reviews template and routes request to BOSC for processing

Reference Information

Closure Designation

In the event of the Columbus campus closing for any reason, each employee MUST have a work designation letting them know whether they should report to work or not. The most common closure designation is Standby.

Essential Employee Any employee designated as critical to the operation of the unit, whose presence is required regardless of the existence of an emergency condition, university or buildings closure, canceling of classes, and whose absence from duty could endanger the safety and well-being of the campus population and/or facilities.
Alternate Employee Any employee not designated to serve as a back-up to an essential employee.
Standby Employee (default) Any employee not designated as essential or alternate and not required to report to work in the event of campus closures.

Dotted Reporting Line

You may choose to adopt a dotted reporting line structure for a position that will receive projects and/or tasks from someone other than their immediate supervisor. A dotted reporting line is often a weaker relationship than a solid reporting line, and is most often used to define roles in specific projects.

 

Detailed Position Description

Function Statement

Purpose An accurate, concise statement of why the position exists. It should focus on the job's overall role in the university and provide insight into the position and the context within which it works.
Dimensions Reflects the size, scope and activity of the role.
Role of Department Provides an explanation of what the department, College, or VP Unit does so that anyone reading the position description will understand in general terms what activities it performs and give a clear indication of where the position fits.
Position Summary One or two sentences summarizing the primary function and general purpose of this job. It may be helpful to write the position summary after defining the essential responsibilities of the position.

Essential Duties

Key Result Areas Specify the key duties, responsibilities of the positions expressed in terms of results or outputs.
Equipment, Machinery & Systems Describe the main machinery, equipment and/or systems used in the position. A brief description should be given of the use of the equipment in the position, even if it appears obvious to the position holder.
Decisions & Judgements Describes the areas of discretion, areas where the incumbent is expected to anticipate or resolve problems independently; and the typical judgements made in the course of the day.
Demands of the Position Describe the physical skills, physical effort, mental demands, emotional demands, and environmental and working conditions of the position.

Education & Experience

Knowledge, Training, & Experience

Identifies the knowledge, training, qualifications and/or experience required to be successful in the position.

Includes theoretical and practical knowledge; professional; specialist or technical knowledge; and knowledge of the policies, practices and procedures associated with the position. Takes account of the educational level normally expected as well as equivalent levels of knowledge gained without undertaking formal courses of study; and practical experience required to fulfill the position responsibilities satisfactorily.

        General statements such as "requires extensive experience" should be avoided.
        If experience is essential, this section should state the level of experience; the length of 
        experience; and how specialized the experience needs to be.
