Requesting a Meal Purchase

Purchasing… made easier.

When you need to request the purchase of a meal, there are some simple steps to follow and questions to ask to make the process.
How will the meal be purchased?

• Will this be a catered event on campus, and if so will there be additional costs such as room rental, linens, bar, photographer, flowers, etc.
• Will there be a contract for the room and event
• When possible, use the catering vendors in eStores

How to request the PCard:

If you are going to a restaurant off campus you may request the Pcard for payment. Enter in your eRequest as normal and select the “PCard Preferred” radial button in the Buy Something section. You should complete the EHE Meal Form and attach it to the request. This document helps to answer important questions for the fiscal team and will allow us to get the necessary approvals in place. Once approved, the Service Center will review for policy compliance and then contact you to let you know you can pick up the card. The email they send to you will contain some very important reminders about using the Pcard. Contact the department’s PCard manager to set up a time to pick up the Pcard. The Pcard manager will also go over how to use the card when you pick it up and answer any questions you have about using it.

Important information to include in the Request: Who, What, When, Where, Why

• Attendees, or if you do not have that information include the invitees
• Agenda if this is a meeting
• Include in your business purpose why you are requesting the meal
• The date, time and location. Delivery?
• Will alcohol be purchased and/or will bartenders be provided (see alcohol policy)
• Attach EHE Meal Form
