Workday is coming January 2021

Workday is the new administrative technology that will serve as a single system for the university’s business operations in finance, human resources, payroll and supply chain. Beginning January 2021, Workday will replace outdated technology to create a better Ohio State experience.

These are the top items that EHE faculty and staff should know:

  1. How do I buy something?
    • Instead of eRequest, we will use a single system called Buckeye Buy to purchase items. Workday will be your one stop resource for catalog and non-catalog needs. When making a purchase, use Workday to first view Buckeye Buy, which hosts all of our current supplier websites of cataloged goods and services. If you do not find what you need there, you can choose to request non-catalog items within Workday.
  2. How do I arrange travel?
    • Like now, your travel will begin with a conversation with your supervisor. You’ll then submit a spend authorization for approval. Once approved, you’ll book travel through your approved travel vendor. Once travel is complete, you will submit an expense report in Workday. eTravel will no longer be available.
      • A spend authorization is a step in our expenses process that must be completed before someone incurs future travel expenses. Travel related expenses include airfare, hotel and ground transportation.
      • If you’ve incurred expenses that require reimbursement, you must submit an expense report in Workday. When the new policy goes into effect, you will have 60 days from the time the expense was incurred to submit the item(s) and receipts for reimbursement.
  3. How do I view my pay slip and perform other employment related tasks?
    • Most employees will use Workday for common employment related tasks. These systems will replace eTimesheet, eLeave, Peoplesoft and People Admin. You will log into Workday for all of the following tasks:
      • Managing and viewing pay
      • Updating personal information and emergency contacts
      • Selecting benefits
      • Tuition Assistance enrollment
      • Track time and absence
      • Requesting time off
      • Applying for an internal job
    • Job aides and video demos for employees
  4. How to do I manage my employees?
    • Workday will consolidate the systems managers use, including eLeave, HR Action, eTravel, eMaterials, eRequest and more.
      • With Workday, staff and faculty who supervise employees can efficiently complete their management tasks. Workday provides managers the opportunity to initiate and approve tasks, including leave approvals, new position requests and compensation changes, related to their teams.
      • With Workday’s manager self-service, supervisors are empowered with necessary and relevant job, position, compensation and costing data. This includes access to numerous Workday reports with information about your team to support all HR related decisions.
      • To take advantage of Workday functionality and allow managers the opportunity to perform business transactions for their teams, Ohio State will implement Workday’s “manager self-service” features. These features will provide managers the opportunity to initiate or approve select transactions for their teams in partnership with a unit’s HR and/or fiscal staff.
